How to Use Dubsado and QuickBooks Automations to Manage Your Clients and Finances

Dubsado and Quickbooks automation tools are a solution for a small business owner like you who want to spend less time on time-consuming tasks that don't add much value to your business.

If you have used Dubsado alone, you may have noticed that its lite accounting features may not be the ideal solution for managing your full business finances. However, Dubsado's integration features add to its competitive advantage.

You can integrate it with other tools that fulfill your particular need. In this case, you can integrate QuickBooks Online (QBO) into your Dubsado to solve your business finance and accounting challenges.

Integrating the two will also help you manage your clients better as you grow. And you will enjoy even more benefits as you’ll find out below.

Benefits of Integrating Dubsado and QuickBooks

Dubsado is a customer relationship management that has some accounting features. QuickBooks is an accounting software designed to offer businesses robust bookkeeping functionality.

Unlike the Dubsado accounting features, QuickBooks offers a deeper overview of your business financials. It eliminates duplication of bookkeeping efforts in your business.

Since you still have to maintain proper accounting records for sound financial management and taxation purposes, it would be best to have accounting software to prepare your payroll and taxes.

Therefore, integrating the two means that all your invoice actions on Dubsado will reflect on Your QuickBooks. So you don't have to waste time transferring accounting records from Dubsado to QuickBooks for bookkeeping purposes.

How to Integrate Dubsado with QuickBooks

Forget about having to figure out how to create invoices with Dubsado forms. It is much easier to generate payment invoices once you integrate Dubsado with QBO.

But first, you have to integrate Dubsado into your QBO. For this integration, you will need to have a QuickBooks Online account. You can't integrate the QuickBooks self-employed version as it doesn't integrate with other platforms, such as Dubsado.

If you have a QBO account, you will follow simple steps to integrate it with Dubsado.

  • Click on the gear icon in the top navigation bar to access your Settings.

  • Go to the Integrations tab.

  • Click Connect under QuickBooks.

  • In the upper right corner, click Connect to QuickBooks.

  • Log in to your QuickBooks account when prompted.

  • Click Connect on the next screen.

  • If you have multiple companies in your QuickBooks account, select the one you want to connect with and click Next.

Once you have completed the connection process, you will be redirected to the QuickBooks integration page in Dubsado. You may need to configure a few more settings before your integration is all set. Here are a few of these settings.

Sync Your Invoices and Payment

You can choose to sync your invoice and payments if you don't have any payment processor synced with your QBO. Therefore, any payments you receive through your Dubsado invoices will automatically be counted as transactions in your Quickbooks. You will need to turn both sync settings ON to achieve this outcome.

Automatically Sync Invoices Only

Alternatively, you can choose to sync your invoices only. It is a good option if your payment processor is already synced with QuickBooks. Otherwise, you will have duplicate transactions added by Dubsado every time an invoice syncs.

For this, you will turn the setting to sync invoices ON. However, allow the sync payments setting to remain OFF.

Manually Sync Invoices

Remember, you can also have full control over which invoices you want to sync with QuickBooks. You will manually sync only the invoices and payments you want to be synced.

You will leave the invoice and payment sync settings OFF to avoid automatic syncing.

Things to Avoid When Using Dubsado and QuickBooks Integrations

There are a couple of things to avoid when using the software to improve your user experience. They will probably save you a lot of inconvenience in the later stages of your software usage.

Most Quickbook experts advise avoiding the temptation to sync Dubsado with QuickBooks. It may sound logical to sync the two tools you have just integrated but don't.

Syncing the two may cause redundant processes. For example, it may bring older transactions you don't need currently.

On the other hand, Dubsado kind of takes more control' when you sync the two tools. For example, when you add or edit something in Dubsado, it will sync to your QuickBooks. However, the same outcome is not experienced when you add or edit something on QuickBooks. The changes do not automatically or manually reflect on Dubsado.

It is best to invoice in QuickBooks compared to Dubsado. If you are not particularly conversant with the two tools, it is much easier to invoice with QuickBooks. It has a more efficient payment processor that helps you avoid the hassle of having to log every payment you receive as a split transaction.

Why You Should Integrate QuickBooks Online and Dubsado ASAP

Account reporting under Dubsado is basic at best. Dubsado is mainly a project management tool. Therefore, for a P&L statement, the best Dubado can offer you is the difference between the incomes and expenses for transactions conducted through the software.

Without a doubt, the Dubsado report isn't a comprehensive report that would show the state of affairs in your business. That is why you need to generate more comprehensive reports using QBO.

Moreover, QBO offers you the additional benefit of syncing with your business bank account. That is an added advantage when reconciling your business records with the bank statements.
